Unanswered question automation not working properly?

This could be user error, but wanted to reach out to figure out if it's me or if the automation is working as intended. When I heard about this automation I was very excited to try it out and recently set up and activated the Unanswered Question Automation. I had anticipated that the email would go out to just the Role identified, but instead it went out to the entire platform (aka the full community of 13000 members).

Are the last three fields building on each other, or does the Group override the Role? I'm still trying to understand why this went out to everyone and not just the Role assigned.

Also, the email received was not very organized and just listed out all of the questions, more like a data dump. I had anticipated the automation would only provide the questions associated with the Group that the individual was an Owner of, or having the questions separated by Group with headers to make it easier for owners to find the questions that they specifically need to review.

Is there a way to modify this automation to ensure it only goes out to the Role identified, with questions separated by Group (with a header to define the Group) or the individual receiving only the questions that apply to them and their group? Or will I need to create an automation specific for every Group with Roles specific to each Group's Owners?

Now to your question about the structure of the email and what is in it and how to get emails for every group.  The short answer is that, yes you would need to setup an automation for each group that you want to get these emails for.  The reason for limiting the automation in this way is readability of the email.  If you have hundreds of unanswered threads across all groups, that email could get a bit unmanageable.

  • Thanks Tony for this clarification.

Is there a way to update the automation to have the logic of it looks at which group you are the owner of and then only populate the questions that apply to you and your group?

I can understand that the email could be unmanageable, which is exactly what I saw when the email went out. Is there a way to update the automation to group questions by Group and perhaps include a header, as it doesn't look like it's organized in any fashion.

Currently, that's the way the automation is designed and it would require a customization to achieve the specific functionality that you are looking for. By putting the site root as the group the current automation will pull all sub groups and the threads from those groups.  Without making any changes to the automation you can setup a new automation for each group and that will restrict the threads to those groups and hopefully make the emails more readable.
